Refunds and Cancellations Policy

Northbridge Software LLC sells professional and digital services rather than physical goods. Physical return or shipping procedures do not apply. This Policy explains how cancellations and refunds are handled for Northbridge fixed-scope products and paid Technical Consultations.

Effective date: July 30, 2026
Last updated: October 27, 2026

1. General principle

You may cancel before work begins. Work already performed is payable. Approved refunds may cover the unearned portion of a payment. Third-party expenses already incurred on your authorization may not be refundable.

Northbridge will attempt to resolve legitimate scope or delivery concerns before a payment dispute becomes necessary. Contacting Northbridge directly is normally the fastest path to a resolution.

2. Technical Consultation ($150)

The consultation request form does not collect payment. Northbridge confirms the proposed session time and provides the applicable payment, rescheduling, cancellation, and refund terms in writing before payment is requested. Those written terms govern the Technical Consultation.

3. Workflow Quick Scan ($49)

You may request cancellation and a full refund before Northbridge begins substantive review of your completed intake.

After substantive work begins, any refund is limited to the unearned portion after accounting for work already performed.

If Northbridge cannot provide the purchased service, any unearned payment will be refunded.

Delivery concerns, material errors, duplicate or erroneous charges, refund processing times, and any rights that cannot be excluded are governed by the applicable published terms and law.

4. Workflow Review ($149)

You may cancel for a full refund before substantive review of your completed intake or submitted materials begins. After substantive work begins, Northbridge may retain only the reasonable value of work actually performed and any non-cancellable costs expressly authorized by you; the unearned balance will be refunded. Delivery of the completed assessment generally earns the fee, subject to unresolved material failure to provide the agreed scope, duplicate or erroneous charges, applicable correction rights, and rights that cannot lawfully be excluded.

If Northbridge determines it cannot provide the purchased Review, Northbridge may cancel and refund the unearned amount.

Dissatisfaction with a recommendation does not by itself mean the service was not delivered. Material factual or scope errors should first be submitted for clarification or correction.

5. Integration Readiness Assessment ($495)

You may cancel for a full refund before either the kickoff call or substantive review has begun, whichever occurs first. After either activity begins, the reasonable value of work actually performed, including the kickoff, and any expressly authorized non-cancellable costs may be retained; the unearned balance is refundable under this Policy.

Delivery of the agreed final deliverable generally earns the fee, subject to unresolved material failure to provide the agreed scope, applicable correction or revision rights, duplicate or erroneous charges, and rights that cannot lawfully be excluded.

If Northbridge cancels the engagement, any unearned balance will be refunded.

6. Automation Blueprint ($995)

The included revision round is a consolidated revision against the approved scope, not an unlimited redesign of the project.

6A. Workflow Automation Prototype ($1,795)

You may cancel for a full refund before substantive prototype work begins. Completing the post-payment intake is not substantive work.

After substantive work begins, Northbridge may retain only the reasonable value of work actually performed and any expressly authorized non-cancellable costs; the unearned balance will be refunded. Northbridge will provide an itemized calculation on request.

If the intake does not fit a supported workflow pattern or exceeds the published limits, Northbridge will explain the mismatch before substantive work begins. You may proceed within the published scope, approve a separately quoted project, or cancel for a full refund at that point. No upgrade is automatic.

Material failures of the delivered prototype to meet the published scope are corrected during the 14-calendar-day defect-remediation period. Delivery of the agreed prototype materials generally earns the fee, subject to unresolved material failure to provide the agreed scope, duplicate or erroneous charges, and rights that cannot lawfully be excluded.

The included revision round is one consolidated in-scope revision requested within 7 calendar days of delivery, not an unlimited redesign.

7. Focused Automation Implementation ($2,995)

The project-start payment reserves delivery capacity and funds the approved initial implementation stage.

If you cancel before substantive work begins, Northbridge will refund your payment less only non-cancellable costs expressly authorized by you and already incurred. After work begins, Northbridge may retain only the reasonable value of work actually performed and expressly authorized non-cancellable costs; the unearned balance will be refunded. Northbridge will provide an itemized calculation and will not count the same work or cost twice.

Cancellation and refund treatment follows the Refunds & Cancellations Policy and any expressly agreed engagement terms in the order of precedence stated in the Terms of Service. An invoice does not unilaterally change accepted terms. Northbridge may retain earned work and expressly authorized non-cancellable costs; unearned prepaid amounts are refundable as applicable. Delivered milestones are generally earned, subject to unresolved material scope defects, applicable defect-remediation obligations, duplicate or erroneous charges, and rights that cannot lawfully be excluded.

The completion payment is not due until the applicable pre-deployment milestone under the approved commercial structure. Cancellation does not transfer unfinished work or unpaid deliverables unless separately agreed in writing.

The 14-day defect-remediation period covers scope defects, not additional features.

8. Internal Operations Starter System ($4,995)

The project-start payment reserves capacity and funds discovery, approved UX planning, and initial development.

The completion payment is not due until the applicable pre-launch milestone. The 30-day defect-remediation period covers scope defects, not new modules, screens, roles, integrations, or features.

9. Client Operations Portal ($9,095 Pay in Full / $9,995 Milestone Plan)

Milestone payment plan. The initial $1,995 payment funds the first project milestone and paid project onboarding. A milestone that has been delivered and confirmed will generally be treated as earned for refund-calculation purposes, subject to unresolved material failure to provide the agreed scope, duplicate or erroneous payment, applicable defect-remediation obligations, and rights that cannot lawfully be excluded.

Cancellation. Cancellation does not accelerate future unpaid milestones or make the remaining project balance due. If an invoice has already been issued for a future milestone whose work has not begun, Northbridge will cancel that invoice, except for separately itemized work actually performed or non-cancellable costs expressly authorized by the client before cancellation. The client remains responsible only for earned work and authorized non-cancellable costs under this Policy, without double counting amounts already paid. Issuing an invoice alone does not make unperformed work earned.

Earned and unearned amounts. On cancellation, Northbridge provides an itemized calculation of the earned amount for work actually performed and any non-cancellable commitments or third-party costs expressly authorized by the client. Northbridge will not count the same work or cost twice, and an invoice, reservation of capacity, or internal allocation alone does not make the entire milestone fee earned. Payments received above the earned amount are the unearned balance and will be refunded. This calculation applies to both milestone payments and full prepayment. Approved refunds are initiated within 5 business days after written approval; provider and bank posting times may take longer.

Full project prepayment. For a Pay in Full project, calculations start from the amount actually paid — the $9,095 Pay in Full service price (plus any separately itemized tax). That payment is not treated as non-refundable; the same earned-amount calculation applies, and the unearned balance of the amount actually paid will be refunded. The difference between the $9,095 and $9,995 prices is not a separate credit, fee, deposit, or financing charge.

Intake scope mismatch. If information submitted during paid onboarding shows that the requested work materially exceeds the published Client Operations Portal package, Northbridge will notify the customer before substantive out-of-scope implementation proceeds. The customer may continue within the published scope, approve a separately quoted scope change, or request cancellation under this Policy. Northbridge will not automatically increase the project price or require the customer to purchase a larger engagement.

Corrections. After a milestone delivery, the client may select Confirm Receipt & Continue or Request a Correction. A correction request holds the project at the current milestone and prevents issuance of the next milestone invoice until the identified delivery issue has been addressed. Northbridge will review the request against the approved scope, provide the correction or a written explanation of any proposed out-of-scope change, and obtain the client's confirmation to continue before issuing the next milestone invoice. Confirmation of receipt does not waive unresolved scope defects or applicable defect-remediation rights. For fully prepaid projects, a correction request holds progression to the next milestone until it is addressed.

Defect-remediation distinction. The post-launch defect-remediation period addresses material failures of delivered functionality to conform to the applicable agreed scope. It does not include new features, additional screens, additional roles, additional integrations, changed requirements, expanded workflows, third-party platform changes, or ongoing maintenance.

Except as otherwise required by applicable law.

10. Client delays

Client delay does not automatically create a refund right. Northbridge may pause a project when necessary information, approvals, content, credentials, or access are missing, and may reschedule after a prolonged period of inactivity.

If a substantial rescoping becomes necessary, Northbridge will communicate the available options before continuing.

11. Refund request process

Send refund and cancellation requests to support@nbsoftware.net, or submit them through the Support page. Please include your name; company name if applicable; the email used for the purchase; the order, proposal, invoice, or reference number; the product or engagement name; the reason for the request; and the resolution you are requesting.

Northbridge aims to acknowledge billing, cancellation, and refund requests within two business days. This is an acknowledgement target, not a guaranteed final-resolution deadline.

12. Refund method and timing

Approved refunds are initiated within 5 business days after written approval. Payment-provider and banking posting times are outside Northbridge's direct control, so the credit may take additional time to appear.

Approved refunds are normally returned to the original payment method. Northbridge will initiate an approved electronic refund promptly after approval.

ACH payments pending at cancellation. A service cancellation does not necessarily stop an ACH debit already submitted for processing. Contact support promptly. Northbridge will confirm whether the processor permits cancellation or voiding of the pending debit. If the debit settles, any approved unearned refund follows this Policy. If the debit is returned, Northbridge will reconcile the return before issuing a separate refund so the same amount is not returned twice. Cancelling the engagement does not authorize a replacement debit or accelerate future unpaid milestones.

Your bank or payment provider may require approximately 5–10 business days to display the credit. Some payments may appear as a reversal of the original charge rather than as a separate credit. Processor or bank posting delays are outside Northbridge's direct control.

13. Disputes and errors

Please contact Northbridge before filing a chargeback so that billing errors, duplicate charges, delivery records, refund status, and scope or technical concerns can be investigated directly. Direct contact is normally faster and more accurate than a bank dispute.

Nothing in this Policy is intended to waive any lawful chargeback right or consumer-protection right that applies to you.

14. Changes to this Policy

Northbridge may update this Policy from time to time. The effective date and last-updated date at the top of the page identify the current version. The version in effect at the time of purchase governs that purchase.
